Annual salary: $51,072.49 + Full state benefits
Job-related travel is Occasional. Must possess a valid driver's license and maintain required car insurance.
Minimum Qualifications
A bachelor's degree and three (3) years of professional experience in business or public administration;
OR
or an equivalent combination of education and experience, substituting one year of technical administrative* experience for each year of the required bachelor's degree.
NOTE: One year of technical administrative* experience may also be substituted for one year only of the required experience.*Technical administrative experience would include highly complex clerical work gained under the direct supervision of a professional supervisor or manager.
Job Responsibilities
- At this level, employees are assigned responsibilities involving the coordination and management of administrative and operational functions in support of division leadership.
- This role is the primary administrative executive assistant to the Developmental Disabilities Services (DDS) Director and leadership team, coordinating executive operations and communication across the division.
- Responsibilities include managing executive schedules and calendars, coordinating meetings, and developing meeting agendas.
- Serving as a scribe by documenting, summarizing, and distributing meeting notes and action items to ensure follow-up and accountability.
- The incumbent organizes and coordinates leadership meetings and other division activities to support efficient decision-making and operational alignment.
- This position also supervises a small team of Human Resources Liaison staff who serve as the primary points of contact for personnel-related matters within the division.
- These responsibilities include supporting hiring processes, onboarding, personnel actions, and other HR-related activities.
- The incumbent ensures consistent and standardized processes for HR-related functions across the state and provides guidance, supervision, and training to assigned staff.
- In addition, the position supports program planning and operational coordination efforts for the division by assisting leadership with administrative, organizational, and communication needs.
- Incumbents are expected to perform assigned duties at varying levels of complexity and help ensure that leadership priorities and operational processes are implemented efficiently across the division.
